1. WHO WE ARE

Happily Wedding Planner plans weddings, vow renewals and proposals in Gran Canaria. This policy explains how we handle your personal information when you contact us, use our services, or visit www.happilyweddingplanner.com.

2. WHAT WE COLLECT

Information you give us: your name, email address and phone number; details of your event such as dates, guest numbers, venue and styling preferences and budget; billing and payment details; and the messages you send us by WhatsApp, email, social media, other third parties or our website forms.

Information about your guests: to plan your event we may hold limited details about people attending it, including names, dietary requirements, allergies, and the names and ages of children. This usually reaches us from you rather than from your guests directly. Please share only what is necessary, and please let your guests know their details have been passed to us for the purpose of planning your event.

Dietary requirements and allergies are treated as health data under the GDPR. We collect them only where you provide them, only to keep your guests safe, and we pass them only to the venue, caterer or vendor who needs them.

Technical information: your IP address, browser type, device and operating system, collected through our website and cookies.

3. WHY WE USE IT, AND OUR LEGAL BASIS

To answer your enquiry and prepare quotations — steps taken at your request before entering into a contract.

To plan your event and coordinate with venues and vendors — performance of our contract with you.

To handle dietary requirements and allergies — your explicit consent, given when you provide them.

For invoicing, payment and accounting records — our legal obligations under Spanish law.

To improve our services and understand how our website is used — our legitimate interests in running and improving the business.

To send newsletters and marketing — your consent, which you can withdraw at any time in writing to info@happilyweddingplanner.com.

4. HOW WE USE YOUR INFORMATION

We use software, including AI tools, to help us draft replies and organise the details of your event. These providers act on our instructions only.

All decisions about pricing, bookings, cancellations and anything affecting your event are made by a person, not automatically.

5. WHO WE SHARE IT WITH

We do not sell your personal information.

We share it only where it is needed to deliver your event or run our business, with:

- Venues, caterers and vendors involved in your event, who receive only what they need
- Messaging and email providers
- Workspace, planning and software providers
- Artificial intelligence providers, as described above
- Payment and accounting providers
- Website and online form providers
- Our accountants and legal advisers, where required

All of these providers are bound by contract to keep your information confidential and to use it only as we instruct. We take reasonable technical and organisational measures to keep your information secure.

International transfers: some of these providers are based outside the European Economic Area, including in the United States. Where information is transferred outside the EEA we rely on the European Commission's Standard Contractual Clauses or an equivalent safeguard.

6. HOW LONG WE KEEP IT

We keep your information only for as long as we need it for the purpose it was collected, and for as long as we are legally required to keep it. In practice this is typically never longer than 10 years, and in most cases much shorter.

The main things that determine how long we keep your details are whether your enquiry becomes a booking, our accounting and tax obligations under Spanish law, and whether we may still need the records in case of a query or dispute.

If you subscribe to our newsletter, we keep your details until you unsubscribe. Cookie data is kept as set out below.

You can ask us to delete your information at any time — see the section on your rights.

7. COOKIES

Cookies are small text files placed on your device when you visit a website. We use them to keep the site working and to understand how it is used.

Essential cookies keep the website functioning — page navigation, security and remembering your cookie choices. These cannot be switched off, and they do not require your consent.

Analytics cookies help us understand how many people visit, which pages they read and how they found us, so we can improve the site. Google Analytics.

Some cookies are set by us and some by third parties, including our website provider Wix. Cookie lifespans vary from the length of your visit up to two years.

Declining non-essential cookies will not affect your ability to use the site.

Under the GDPR you have the right to access the information we hold about you; to have inaccurate information corrected; to ask us to delete it; to ask us to restrict how we use it; to object to processing based on our legitimate interests and to direct marketing at any time; to receive your information in a portable format; and to withdraw your consent at any time where we rely on it.

You also have the right to complain to a supervisory authority. In Spain this is the Agencia Española de Protección de Datos (AEPD), www.aepd.es. You may also complain to the authority in your country of residence.

We may update this policy from time to time. Any changes will be posted on this page with a revised date above.
